Hubigen Admin: the platform our agency runs on

We built Hubigen Admin for our own agency, because planning, hours and client follow-up were spread across separate tools. The platform brings together the roadmap per client, the briefing per task, time tracking, invoicing, CRM and Docs. So for any client we can see what is planned, what is happening and which hours belong to that work.

The story

What we built.En waarom zo.

01

The challenge

Our work starts with a client's question and continues through discussions, proposals, tasks and follow-up. In an ongoing collaboration, new work keeps being added. An overview per project isn't enough then: we also need to see which questions are still waiting, what has priority and what needs discussing first.

Planning, hours and follow-up lived in separate tools. To know where a project stood, we had to pull information together from different screens. A task described the work, the hours were somewhere else and the background was in notes. That made it hard to follow the link between an agreement, the work done and the invoicing.

So we built custom business software around how our agency works. The starting point was the client work itself, from first contact to ongoing improvement.

02

Our approach

Every client has a roadmap. In it we put planned work and new questions in an order that helps us discuss priorities. From that roadmap, the work becomes concrete in tasks. Each task gets a briefing that describes what needs to happen and what context is needed. The status shows where the work stands.

Time tracking is attached to those tasks. An hour therefore sits with the work it was spent on, under the right client and the right project. That makes the step to invoicing easier to follow: admin can connect the logged hours to the work carried out.

The commercial side sits in the same environment. In the custom CRM we follow up leads and client relationships. A new question stays recognisable as part of the relationship with that client, next to the projects already running.

Docs brings together briefings, agreements and background information. The team has a fixed place to look up the context of a client or assignment. The documents support the tasks and roadmaps, so a short task description doesn't need to hold the whole history.

The dashboards give an overview of projects, tasks and hours. We use the combined picture for day-to-day follow-up and open the underlying work when we need more detail.

The result

Hubigen Admin gives us one environment to follow up client work. For each client we see the roadmap and tasks, with the briefings that explain what needs to happen. Logged hours stay linked to that work and form the basis for further admin follow-up. The context stays available in Docs. Leads and client relationships sit next to delivery, so commercial follow-up and project work draw on the same client information. We no longer have to piece together the state of a project from separate overviews every time.

The platform is in daily use at our agency. We improve it based on the questions that come up during the work. That way we use the same approach we apply for clients: translate how a business works into software and keep adapting it to practice.
