Custom work for SMEs
Custom software. For the way you work.
Custom software for your business processes: business software, customer portals, CRM and dashboards, built around how you work and connected to the systems that keep running.
What we automate
The work that comes back every week.Sorted properly, once.
The processes companies call us about most often. It usually starts with one of them.
Quotes with your own data and terms. We agree how an approval connects to the project work.
Making the choice
Package, integration or custom software?
The best choice depends on your process and on what already works well today.
Package
Does the way you work fit the steps and fields on offer? Then look at a standard package first. Also test whether the permissions, exports and integrations match what you need.
Integration
Do your existing systems work well, but do you enter the same data more than once? An integration may be the missing link. Agree which system is the source and what happens when the exchange fails.
Custom work
Do you have your own process steps, exceptions or access rights that do not fit? Then custom software can support that way of working. You do not have to replace everything that already works.
Is it mainly about following up customers? Have a look at custom CRM. Want to connect your existing business system to the shop floor? Have a look at custom ERP.
Services
Fifteen kinds of custom software. One system underneath.
You start with the part that costs the most time today and expand when you need to.
Business software
Your processes are spread across packages and Excel. We bring planning, files and admin together in one environment, connected to your accounting.
Custom CRM software
Your follow-up lives in spreadsheets, mailboxes and heads. A customer system with your stages and fields, flowing on into projects, hours and invoices.
Quoting software
Quotes you no longer build from scratch, with your own prices and the margin visible before they go out.
Staff scheduling software
Who works where and when, with leave, capacity and changes everyone sees straight away.
Planning tool
The planning hangs on a whiteboard or sits in Excel. Projects, events and trips in one schedule, and signed work lands in it by itself.
Transport planning software
Calling round to find out what is on the road. Trips, drivers and fleet in one schedule, with a screen of their own for each driver.
Customer portal
Your customers call and email for status updates and documents. In the portal they follow their own file, upload documents and see only what is theirs.
KPI dashboard
You only find out afterwards how a month went. The figures you steer by, on one screen and without export work.
Web application development
Your own working tool in the browser, for your team, your customers or your partners, on any device.
Inventory management software
Your warehouse runs on paper and the office types it all in again. Scanning in the warehouse, even without a network, connected to your ERP.
Custom ERP
Your ERP is too heavy for the shop floor. A layer on top for office, warehouse and partners, or an ERP of your own if that pays off.
Work order app
Paper work orders that get typed in later. Record the work on a phone or tablet and decide which data goes to the office.
Time tracking software
Hours filled in afterwards from memory. Hours on customer, project and task, with history, and invoices that follow.
Ticketing system
Requests that disappear into a mailbox. Every request gets an owner and a status, and customers can follow along themselves.
Business process automation
The work that comes back every week. How to recognise what to automate, and how to start.
Why Hubigen
Why companies choose us.And when it clicks.
Software that fits the way you work, built by the people you talk to.
What you get
- A fixed price per phase, so you know where you stand up front.
- After each phase, you decide whether we carry on.
- Software that is yours, including the code and the data.
- Direct contact with the people who design and build it.
- We stay available after go-live.
When you choose us
- You want the software to adapt to your work.
- You want to enter data once and see it everywhere.
- You want to keep what works and connect the rest.
- You want honest advice, even when something simpler will do.
- You want to start with a clearly defined flow and expand based on how it is used.
Approach
From first conversation to go-live.Phase by phase.
First we make clear which process we are tackling, what the first version needs to do and which systems stay. We also agree what falls outside that phase and how you judge whether it works.
Getting to know each other
You show us how the work runs today, with examples of documents, input and exceptions. Together we choose which bottleneck gets attention first.
Proposal per phase
We describe the first workable flow, the data and integrations it needs, and the agreements on review and feedback.
Building in phases
We build the agreed flow and test it against the daily work. What we learn from the feedback decides the next step.
Live with your own data
We agree which data comes along and check the migration. For use and further changes, we make agreements on hosting, maintenance and follow-up.
Proof, not promises
What we have already built. And what is still running.
You do not have to replace your existing software entirely. These projects show how we connect a business process to what is already there.
Your project here?We will gladly make room.
In practice
How we did it at Ripal, Heat and IBS
Ripal
For Ripal we built a shop floor environment around the existing ERP, with a warehouse app and a customer portal. A two-way integration connects the business system with its own screens and input.
Heat
At Heat the platform brings requests, quotes and events together with run sheets and equipment. Billit handles invoicing, connected to how the platform works.
IBS
For IBS we built a first mobile work order for technical interventions, with work registration, signature and PDF. Offline input, preventive maintenance and a customer login belong to that scoped version in testing; production use has not yet been confirmed.

Questions
What clients ask us.About packages, price and aftercare.
Software built around the way you work, instead of a package you squeeze your process into. In practice it is usually one of four things: a business platform for your internal processes, a portal for your customers, a CRM for your sales or a dashboard for your figures. A project often starts with one of them, and the others grow onto it later.
Look at where most of your time goes today. If it goes into emailing and calling customers about status and documents, a customer portal is the logical start. If it is in quotes and follow-up, a CRM. If your internal admin gets stuck in separate tools and Excel, business software. And if you mostly do not know where you stand, a dashboard. Not sure? Just tell us about it: we will say honestly where the gain is.
Yes, and that is often the best place to start. An Excel file everyone relies on is usually a process that has been asking for software for years. We rebuild it as a system with fixed fields, permissions per person and a history, and the data from your files comes along. The work stays the same; nobody has to retype anything any more.
Compare the full picture of both options. Besides the build or the licence, data migration, integrations, hosting, maintenance and later changes all count. What fits depends on your process and how it is used. Custom work can have recurring costs too.
No. We first choose a clearly defined process and look at what can stay. The first phase can be an application of its own, but also an integration with your existing systems. Then you decide which extension makes sense.
We make agreements on hosting, maintenance and follow-up. New requests are assessed on their impact on the way you work, the data and the integrations. That keeps it clear what falls under maintenance and what needs a separate change.
On European servers, encrypted, with daily backups, and so under the GDPR. We set who sees which data per role, so someone on the shop floor does not get the same screens as your accountant. You remain the owner of your data and can export it at any time.
In Jabbeke, West Flanders. As a software company we work across the whole province and beyond, and we are happy to come by for a first conversation.
Yes. Most of the work happens digitally, so distance is rarely the problem. We do notice that the intake goes better if we sit down at the table together once at the start, and that is simply easier to arrange when you are nearby.
For one reason that matters: with custom software, someone has to understand how your business works. That goes faster when they can drop by, walk along on the shop floor and speak your language. The rest, such as technology, hosting and maintenance, can come from anywhere.
