Heat: from enquiry to run sheet in one platform

For Heat Catering we built a platform that brings scattered enquiries, quotes and event planning together, so the team can follow each file from first contact to invoice. Once approved online, quotes flow into an event with a run sheet, equipment and invoicing via Billit. In three months, enquiries rose from 10 to 180 a month, growth we do not attribute to the platform alone.

The story

What we built.En waarom zo.

01

The challenge

An enquiry, a quote and a run sheet were about the same event, but the information was scattered across spreadsheets, emails and separate schedules. The team kept having to gather data again and build quotes from scratch. That made it hard to carry cost prices and agreements from the first proposal through to delivery.

Sales follow-up needed an overview too. Which enquiries were complete? Which quotes had been opened? Where was a decision still pending? Heat needed custom CRM in which those questions tie into the actual work.

02

Our approach

We built the flow around a single file. An enquiry is prepared and missing information becomes visible. A draft reply is ready, but a person sends it. The quoting software works with reusable blocks and product prices from the supplier platform. While drafting, the team sees the cost price and margin, so any deviation is a conscious decision.

The customer approves the quote online. The file then flows into an event in the planning tool, with the practical arrangements, the run sheet and the equipment needed. On the day itself, the team works from the information built up during preparation.

Invoicing is part of that flow too. Deposit and final invoices go through Billit. The sales dashboard shows the state of enquiries and quotes, including quotes that have been opened but are still awaiting a decision.

03

The result

Heat follows the whole process in one environment: from enquiry and quote to confirmed event, delivery and invoicing. The team no longer has to piece together schedules and agreements from different sources. Sales sees which files need follow-up, while delivery carries on from the customer's approval.

In three months, Heat went from 10 to 180 enquiries a month. That is the measured result over that period, without attributing the growth to the platform alone. The platform gives the team a shared structure to handle those enquiries and carry them through to the event.
